What a Practice AI Assistant Can Do
Answer any staff question about practice protocols and procedures. Draft patient communications in your exact brand voice. Generate reports on demand — financial summaries, patient statistics, marketing performance. Create marketing content aligned with your services and messaging. Handle research on treatment protocols, drug interactions, and clinical guidelines.
Screen resumes and draft interview questions for hiring. Generate onboarding materials for new staff. Create Standard Operating Procedures for any workflow. Think of it as having a senior team member who knows everything about your practice, never takes PTO, and responds instantly.
Steps 1–3: Foundation
Step 1 — Gather Your Practice Knowledge: Compile every document that defines how your practice operates: employee handbook, service descriptions, provider bios, insurance information, scheduling rules, brand voice guidelines, common patient FAQs, clinical protocols, and marketing guidelines.
Step 2 — Choose Your Platform: For HIPAA-compliant implementations, use Claude Enterprise API or ChatGPT Enterprise with a BAA. For non-clinical uses where PHI is not involved, the standard professional versions are appropriate.
Step 3 — Build the System Prompt: The system prompt is the instruction set that tells the AI how to behave. It should include the practice's name and essential context, the AI assistant's role and personality, rules about what information it can and cannot provide, and the practice's brand voice and communication style.
Steps 4–6: Deployment
Step 4 — Train With Examples: Provide sample conversations showing how the assistant should respond to common questions. Include examples of patient communications in the right tone. Show it how to format reports. Give it templates for marketing content.
Step 5 — Deploy to Your Team: The most common deployment methods are a dedicated Slack channel where team members message the assistant, a web-based interface using the AI provider's platform, or integration into existing workflow tools through APIs.
Step 6 — Name It: Named AI assistants see dramatically higher adoption rates. Give it a name, a personality, and a role title. "Meet Maya, our Practice Intelligence Assistant." Staff interact with a named assistant as a team member rather than treating it as a search engine.
